Your main responsibilities will be as follows:
Demonstrate natural ease and effectiveness when dealing with clients/colleagues at all levels, but particularly very senior levels, internally and externally
Build effective relationships internally and interact with the wider Investment team to support queries addressed to the Portfolio Management Group
Assisting other members of the wider administrative team as and when required
Support the team’s adherence to Professional Excellence standards
Assist in the preparation and despatch of meeting packs for the Portfolio Management Group
Co-ordination of client and internal meetings, checking attendee availability, booking rooms and equipment, arranging video and telephone conference calls
Ongoing maintenance of data required by the Portfolio Management Group
To provide full administrative support to Portfolio Managers, including project management, voicemail and timesheet management, expense claims, drafting documents, filing, photocopying, to confidently deal with telephone calls/enquiries, take accurate messages and assist in any other administrative related matters, as requested
Provide support to other areas of the business as required
Diary management: maintaining busy diaries scheduling meetings in multiple time zones. Checking ahead to make sure all details have been arranged/confirmed in good time.
Travel: Arrange domestic and global travel arrangements including visas, accommodation, management of travel profiles and preparing complex itineraries when required
To provide administrative support to other members of the team as required
Ensure that documents conform to housestyle
- Maintaining SharePoint, electronic network filing system and monitoring team’s adherence to Professional Excellence procedures
Job RequirementsThe Requirements
- Team Secretary/ Team Administration experience - Essential
- Diary Management
- Excellent one to one and team administrative skills including experience of using MS Word, Excel, PowerPoint and Outlook
- Intermediate Excel skills - Able to use V-Look-ups, good knowledge of formulas, able to look at large amounts of data and manipulate it
Ability to organise and prioritise to successfully meet deadlines, often at short notice
To be proactive and possess the tenacity to effectively support the senior team members
To be able to work alone and make justified decisions on behalf of the senior team members
Flexible, adaptable and a good team player with excellent people skills, highly organised, monitoring and managing multiple tasks
Comfortable following systems and processes, and working together with internal and external administrators
Excellent oral and written communication skills
